What action should I take to do business with HCS?

Step 1: Click on https://henryk12.bonfirehub.com/
Step 2. Create an account and enter all required information (including selecting commodity codes). For a video tutorial, click here.
You can also access the registration link from HCS’ website by navigating to the Purchasing page. We also recommend registration with the Georgia Procurement Registry as an additional measure of notice. Click here to access the registry page.
Why should I become a “registered” vendor?
Registered vendors receive email notifications of opportunities advertised in HCS’ Vendor and Solicitation platform that match the company’s registered commodity codes.
Does the vendor registration process for a non-profit differ from profit organization?
No. All interested parties – including non-profit providers – are required to provide business details and a W-9 when registering.
What is a commodity code?
Commodity codes are standard classification codes for products and services. Henry County Schools’ leverages the National Institute of Governmental Purchasing (NIGP) coding taxonomy, which supports classification of products and services procured by state and local governments in North America. NIGP Codes can be searched via the GPR portal, as well as, HCS’ Vendor Registration and Solicitation portal.
If I am currently an established vendor with HCS, do I need to go through the “new” vendor registrat
Yes. We encourage all parties interested in doing business with Henry County Schools to complete the registration process and select “receive notifications” to receive push notifications of business opportunities.
What is an “awarded” vendor?
An awarded vendor has been selected to provide goods/services to Henry County Schools. Awarded vendors have been entered within the Henry County Schools financial system and have been issued a vendor number. Awarded vendors are required to provide additional documentation upon selection to provide goods/ services.
How do I become an “awarded” vendor?
Parties interested in doing business with Henry County Schools’ should respond to informal quote or formal solicitation requests from Henry County Schools for the opportunity to be selected.
What is required of “awarded” non-profit entities?
In addition to providing a W-9, non-profit entities selected to do business with Henry County Schools must provide a letter evidencing their non-profit status.
Does HCS use the Georgia Statewide contract vendor list for purchasing?
Yes, Henry County Schools reviews contracts on various government and purchasing cooperatives. Purchasing may leverage these resources or Henry County School may choose to conduct a local advertisement if deemed in the best interest of our school system.
If a vendor wishes to propose programs to the school system, what is the process?
We encourage all parties interested in doing business with Henry County Schools to register in the HCS’ Vendor Registration and Solicitation platform to receive notice of business opportunities that match the vendor’s offered goods and/or services.
Vendors may consult department and school webpages to identify district programs and contacts that are aligned to the business offer. Interested vendors may also submit written business plans to applicable representatives for HCS; HCS does not commit to explore proposals occurring outside of advertised solicitation opportunities. Note, that solicitation of students and their families for non-school related matters are prohibited by Board policy (Policy KEB) subject to principal discretion.
